Leaves of Absence
Policy
Northwestern University offers a variety of leaves of absence for eligible staff members. Faculty should review the Faculty Leave webpage for more information. Each leave of absence varies in its provisions with respect to availability, duration, holding the position, benefits available, and contributions for those benefits, as well as documentation and approvals.
A leave of absence allows an individual to temporarily leave a University position with an intention to return to that position. During the leave the individual maintains a relationship with the University that provides access to certain benefits and does not break service.

Types of leaves of absence
The following pages describe the provisions for 10 kinds of leaves of absence available from the University, and provide guidance to staff members wishing to pursue leave.
- Medical Leave is absence to care for a personal serious health condition.
- Maternity Leave is absence for a woman following the birth of her child.
- Family Care Leave is absence for the adoption of a child, or for a father of a newborn child, or for placement of a child in foster care, or for a serious health condition affecting a spouse, parent, child, or declared same-sex domestic partner.
- Birth/Adoption Parental Leave (BAPL) is absence for a parent following the birth or adoption of his/her child.
- Illinois Victims' Economic Security and Safety Act (VESSA) leave is for a staff member who is a victim of domestic violence, dating violence, sexual assault, or stalking, or has a family or household member who is a victim of domestic or sexual violence.
- Military Leave is absence for military reserve training, or for active military service for employees who enlist or are inducted into the armed forces of the United States.
- Military Caregiver Leave is absence to care for a military service member who is the employee's spouse, domestic partner, child, or parent with a serious illness or injury incurred in the line of active duty.
- Worker's Compensation Leave is absence for the recovery from a work-related illness or injury.
- Personal Leave is absence taken to provide staff members with approved time off for personal needs.
- Repatriation Leave (Qatar) is for those who return to the U.S. after assignment in Qatar.

How to Apply and Change in Leave Administrator
Starting January 1, 2025, Northwestern will transition the administration of leave benefits to MetLife. Faculty and staff with a leave beginning before January 1, 2025, will continue to work with The Hartford for their Extended Sick Time (EST), Long-term Disability (LTD), and Birth/Adoption Parental Leave (BAPL) claims. Family Medical Leave Act (FMLA) and Military Leave claims will be tracked by MetLife starting January 1, 2025, even if your leave began before this date.
New Leave Starting Before January 1, 2025
The faculty and staff member must contact The Hartford to apply for FMLA and/or EST/BAPL benefits as soon as possible. Instructional faculty inform their Dean's office for academic planning. You can reach The Hartford at 1-888-541-7283. View the step-by-step process of applying for a leave. Once your claim has been assigned to a claim administrator at The Hartford, you can request to speak to this person directly by scheduling an appointment online. The Hartford will manage your EST/BAPL even if the benefit is paid in calendar year 2025. You will not need to contact MetLife unless you need FMLA in 2025 that has not been approved by The Hartford by the end of this calendar year.
New Leave Starting After January 1, 2025
Because your leave request begins after January 1, 2025, you will need to make the initial leave request with MetLife, even if you have already contacted The Hartford. MetLife will not begin the intake process for new Northwestern leave requests until December 16, 2024, at 9 am CST. You can contact MetLife on or after this date at 1-800-396-8876. The online portal will not be available until January 2025. The requirement that your leave claim cannot be filed until mid-December will in no way impact how long it takes MetLife to review and process your claim.
Currently on Leave
For those currently on leave, if you need additional FMLA and/or EST/BAPL beyond what’s approved, please work with The Hartford before the transition to request an extension. The Hartford will manage your EST/BAPL even if the benefit is paid in calendar year 2025. You will not need to contact MetLife unless you need FMLA in 2025 that has not been approved by The Hartford by the end of this calendar year.
