Hiring Overseas Workers
Northwestern University currently utilizes the Mauve Group (Mauve) to support the hiring of workers in countries where Northwestern does not have a local entity. This includes work that is part of the core NU business (e.g., teaching, career advising, and research support).
With few exceptions approved by HR and the Office of the Provost, employees engaged to perform work outside of the United States will be processed and hired via Mauve.
Request for an International Hire
Please review this linked guidance prior to submitting a request to the Office of the Provost. If all requirements are met – please proceed with the submission per the guidance.
The use of Mauve is for those assignments that involve an employment relationship with the University. Please refer to the guidance indicated, as well as the Human Resources website - Employee vs. Independent Contractor. An OnBase Worker Classification Form should be submitted to Human Resources prior to initiating an international hire.
Tips for Initiating an International Hire
- Please ensure that the department/unit has reviewed information on the Office of Export Controls and International Compliance (Guidance for Researchers), Research Security Program, and Northwestern IT’s Information Security Office websites for applicable export controls regulations, research security regulations, or data retrieval/transmission/storage restrictions for the foreign jurisdiction in which the international hire will be conducting work.
- The hiring department is responsible for ensuring that the workers have taken all required training (Research Security, Export Control, if applicable) and for reviewing the Export Control Policy.

- The hiring department is responsible for ensuring that workers have taken all necessary compliance training (e.g., HIPAA, FERPA, etc.), and are meeting requirements regarding patch management, electronic communications, and endpoint security with Northwestern data as indicated in university policies, along with any legal/contractual obligations.
